Privacy Policy
How we handle personal data, and the rights you have over it.
1. About this Privacy Policy
This Privacy Policy explains how SlideSource, Inc. ("SlideSource", "we", "us") handles Personal Data.
Two terms are used throughout:
"Personal Data" means information that, alone or combined with other information, could be used to identify you.
2. When SlideSource is a Controller and when it is a Processor
When you interact directly with SlideSource, such as through our Website, or through our marketing, sales or support activities, SlideSource generally acts as the controller of your Personal Data. This Policy describes that processing.
When the Services are provided to an organization and we process Personal Data within that organization's Library on its behalf, the organization generally acts as the controller and SlideSource acts as its processor. Those activities are governed by our agreement and Data Processing Agreement with that organization, not by this Policy. See section 6.
3. Personal Data We Collect
Information you give us. When you contact us, request information, subscribe to our communications or create an account, we collect your name, email address, telephone number where you provide it, and the content of your message or request.
Account and authentication information. Where you hold a SlideSource account, we collect your name, email address, username, and authentication credentials. Passwords are stored as salted hashes and never in reversible form. Where you authenticate through your organization's identity provider, we do not hold a password for you at all.
Information collected automatically. When you use the Website or the Services we collect your IP address, approximate location derived from it, browser and device information, the pages you view, and how you reached us.
Activity records. Where you use the Services, we record actions taken in the application, including sign-in and failed sign-in attempts, content you create, change, download or share, and administrative actions. Each record identifies the acting user, the time and the originating IP address. These records exist for security and audit purposes.
Information from other sources. We may receive information about you from publicly available sources and from partners, for example where a colleague invites you to a Library.
We do not seek special category personal data, we do not knowingly collect data from children, and we do not carry out automated decision-making or profiling that produces legal or similarly significant effects.
4. How We Use Personal Data and Legal Bases
| Purpose | Legal basis |
|---|---|
| Provide the Services, including account creation, authentication and support | Performance of a contract |
| Respond to your enquiries and requests | Steps taken at your request before entering a contract, or our legitimate interests |
| Secure our systems, prevent fraud and maintain audit records | Our legitimate interests, and compliance with legal obligations |
| Improve and develop the Services | Our legitimate interests |
| Send marketing communications about our products and services | Consent where required, otherwise our legitimate interests. You may opt out at any time |
| Analytics and non-essential cookies | Consent where required, otherwise our legitimate interests |
| Meet accounting, tax and record keeping obligations | Compliance with legal obligations |
Where we rely on legitimate interests, we consider and balance any potential impact on you and your rights. We do not rely on legitimate interests where that impact would override our interests.
5. How We Share Personal Data
We do not sell Personal Data.
We share Personal Data with service providers that process it on our behalf, under contract and only for the purposes we specify. These providers may include cloud hosting and infrastructure providers, communications and email providers, website form processors, analytics providers, meeting-scheduling services, marketing and contact-management providers, and security or technical service providers.
Where SlideSource processes Personal Data on behalf of a SlideSource Library customer, the subprocessors used to provide the Services are governed by our Data Processing Agreement with that customer, and details are available to that customer on request.
We may also disclose Personal Data where required by law or legal process, to protect our rights or the safety of others, or in connection with a corporate transaction.
6. Customer Data in SlideSource Library
Where your employer or another organization provides you with access to SlideSource Library, that organization controls the Personal Data held in its Library, including account records, the content stored there and the activity records described in section 3.
We process that data only on that organization's documented instructions, under a Data Processing Agreement.
If you want to access, correct or delete Personal Data held in an organization's Library, please contact that organization. If you contact us instead, we will tell you who to approach and let the organization know.
Personal Data may also be contained within the content an organization stores in its Library. We do not access or review customer content except as necessary to provide the Services, provide support, maintain security, or as instructed by the customer.
7. International Data Transfers
We are established in the United States, and Personal Data we process may be transferred to and stored in the United States and in other countries where we or our service providers operate.
Where we transfer Personal Data from the European Economic Area, the United Kingdom or Switzerland to a country that has not been recognised as providing an adequate level of protection, we rely on one or more of the following safeguards:
Where Personal Data is held in a customer's Library, the arrangements governing transfers between that customer and SlideSource are set out in the Data Processing Agreement between us.
A copy of the safeguards applicable to a particular transfer is available on request.
8. Cookies and Analytics
Our Website uses cookies and similar technologies in four categories:
You can control non-essential cookies through our cookie preferences control, and you can block or delete cookies through your browser settings. Blocking some cookies may affect how the Website works.
The specific services we use for these purposes change from time to time. Current details are available on request.
9. Data Retention
We retain Personal Data only for as long as reasonably necessary for the purposes described in this Policy, including to provide the Services, comply with legal and contractual obligations, resolve disputes and enforce our agreements.
Personal Data processed within SlideSource Library on behalf of a customer is retained and deleted in accordance with our agreement and Data Processing Agreement with that customer.
We maintain an internal retention schedule setting out specific periods, which is available to customers on request.
10. Security
We maintain a documented information security programme. It includes access control and multi-factor authentication, encryption of data at rest and in transit, separation of customer environments, logging and monitoring, continuous vulnerability scanning, annual independent penetration testing, documented incident response, and regular backup and recovery testing.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Further detail is available to customers and prospective customers on request.
11. Your Privacy Rights
Depending on where you live, you may have the right to access the Personal Data we hold about you, have inaccurate data corrected, have your data deleted, restrict or object to how we use it, receive certain Personal Data in a portable form, withdraw consent where consent is the basis for processing, and opt out of marketing communications at any time.
You also have the right to lodge a complaint with your data protection supervisory authority.
To make a request, contact us at privacy@slidesource.com. We will respond within the time required by applicable law, and we may need to verify your identity first. We generally do not charge a fee for exercising these rights, except where permitted by applicable law.
If your Personal Data is held in an organization's SlideSource Library, please see section 6.
12. Changes to This Policy
We update this Policy when our practices change. The date below shows when it was last revised. Where changes are material, we will provide notice through the Website or by contacting you directly.
